Terms of Service
Last updated: 16 September 2026
These Terms of Service ("Terms") govern your use of PayStamp ("the Service"), operated by Antonis Christodoulou, Cyprus ("we", "us", "the Operator"). By creating an account or using the Service, you ("the Business") agree to these Terms. If you do not agree, do not use the Service.
1. What PayStamp is
PayStamp is a web application that lets lesson-based businesses (such as swimming schools, music schools and sports clubs) record student enrolment and track which students have paid for lessons.
PayStamp never holds, transfers or processes money. Payment reaches you directly — in cash, or through a payment page you publish yourself. If you choose to publish such a link, the arrangement is between you, your customer and that provider; PayStamp takes no part in the transaction and does not see it. A parent may tell PayStamp they have paid, but nothing is recorded as paid until you confirm it.
2. Your account
You are responsible for keeping your login credentials secure and for all activity under your account. You must provide accurate information and are responsible for the accuracy of the student and payment records you enter.
3. Your responsibilities regarding data
You decide what student and parent data to enter into PayStamp and why. In data protection terms, you are the Data Controller of that data and the Operator is your Data Processor. You are responsible for:
- Having a lawful basis to collect and process your students' data.
- Informing your students or their parents about how their data is used (our Privacy Policy can help, but the relationship is yours).
- Only entering data you are entitled to process.
- Handling requests from your customers about their data (for example requests for access or deletion).
The separate Data Processing Agreement sets out how the Operator processes data on your behalf and forms part of these Terms. By accepting these Terms when you create your account, you also accept the Data Processing Agreement — it is a written contract under Article 28(9) GDPR and no separate signature is required. If your own records or auditor need a signed copy, ask us and we will provide one.
4. Acceptable use
You agree not to use the Service to store unlawful content, to attempt to access other Businesses' data, to disrupt or probe the Service's security, or to use it in any way that breaks applicable law.
5. Availability
We aim to keep the Service available and working, but we provide it on an "as is" and "as available" basis. We may carry out maintenance, updates or changes, and the Service may occasionally be unavailable. We do not guarantee uninterrupted access.
6. Security
We apply appropriate technical and organisational measures to protect data, including encrypted connections, access controls that isolate each Business's data, and EU-based hosting. No internet-connected system can be guaranteed completely secure. We do not warrant that the Service will be free from all vulnerabilities, but we work to keep risk low and to address issues promptly.
7. Limitation of liability
To the maximum extent permitted by law, the Operator is not liable for indirect or consequential losses, loss of profits, or loss of data arising from your use of the Service. Nothing in these Terms limits liability that cannot be limited by law. Because PayStamp records payment status that you confirm, you remain responsible for verifying your own financial records.
8. Fees
PayStamp is a paid service. Current pricing is published on our pricing page. We reserve the right to change pricing with at least 30 days’ notice to existing subscribers; founding-member pricing, where offered, is locked for the duration stated at signup.
9. Termination
You may stop using the Service and request deletion of your data at any time. We may suspend or terminate access if these Terms are breached.
On termination you may take a copy of your records using the export function, or ask us to return them. Your data is then deleted within 30 days, including from any backup copies, unless we are required by law to keep it.
If we ever decide to stop operating PayStamp, we will give you at least 30 days' notice by email, and the export function will stay available throughout that period so you can take your records with you.
10. Changes to these Terms
We may update these Terms from time to time. If we make a material change, we will take reasonable steps to notify you. Continued use after a change means you accept the updated Terms.
11. Governing law
These Terms are governed by the laws of the Republic of Cyprus, and any dispute is subject to the exclusive jurisdiction of the Cyprus courts.
